2014 November Meeting Minutes

PINE ISLAND RIDGE COMMUNITY ASSOCIATION
MONTHLY BOARD MEETING
NOVEMBER 17, 2014

ATTENDEES: Dave Kwiatkowski, Ron Hahn, Elizabeth Sengupta, Sharon Moore, Cindy Ferrini, Laura Hatford, Steve Hodges, John Brock, and Yolla Blair, Judy Elliott, Don Guske. Proxy was provided by Bob Smith.

 TOWN VISITORS
• No town visitors were in attendance. Sharon Moore obtained an update from Bob Volkmann.
• All paving has been completed within Pine Island for 2014.
• Four drainage issued are out for bid and three others are out for design. Some of these will be completed in 2015.
• Pine Island mall owner is working with Building & Planning on signage.
• Leaf pick up will occur this week and then probably not back into our subdivision until 12/8.
 MINUTES FROM OCTOBER 20, 2014 BOARD MEETING
• Don Guske made a motion to accept the minutes, and Laura Hatford seconded the motion. Motion passed unanimously.

 MINUTES FROM OCTOBER 13, 2014 PIRCA ANNUAL MEETING
• President Hodges will resend the Annual Homeowner’s Meeting minutes to all Board Members. He asked that they be reviewed so that they can be placed on the website.

 TREASURER’S REPORT FOR NOVEMBER 2014
• Yolla Blair made a motion to accept the treasurer’s report and
Ron Hahn seconded the motion. Motion passed unanimously.
• No status change with delinquencies.
• It appears that all grass cutting and landscaping items have been completed for the year.

 COMMITTEES
Commons Area/Landscape
• Ash Tree Removal – Board asks Access Tree Service to provide additional insurance info before work commences.
• ACTION: Sharon Moore to follow. PIRCA to be listed as additional insured; proof of Worker’s Comp insurance; (or Waiver of Subrogation if sole proprietor); proof of auto insurance for all vehicles; Umbrella policy. Information and Certificate of Liability Insurance to be forwarded to John Brock.
• Board is asking that the Job Estimate be rewritten clarifying that we only pay for what has been cut with a maximum of four trees per month. And, check will be issued upon receipt of documentation and photos from Access Tree Service.
• ACTION: Sharon Moore to obtain revised Job Estimate and Proofs of Insurance. ( Complete ASAP)
• A motion was made by John Brock that Access Tree Service can commence work upon receipt of updated Job Estimate and proof of all required insurance. Motion seconded by Laura Hatford. Motion pass unanimously.

Ponds
• Dave Kwiatkowski took pictures of log that was stuck in drain pipe (next to sewage pump/lift station under 85th Place) and forwarded them to Public Works Director Huet. The Town removed all debris using heavy equipment.
• ACTION: President Hodges will write than you letter to the town for the speedy assistance.
• The water level at Twin lakes was above the drainage pipe. Public Works responded by relocating a beaver dam and water level is down.

Playground
• No new business.

ARC
• Don Guske reported met with homeowner at 8323 Pine Island where fence is being installed. It is within compliance guidelines.

Compliance (Homeowner’s issues/Problems)
• Residence at 8485 Pine Island Dr. has an approved offer but there is still one titled issue to be cleared before closing can occur.
• In response to our letter, the landscaping has been cleaned up at 8510 Durbin Ln.
• 5182 W. 87th Ln. residence has shingles that are coming off the roof. Officer DeCero left a citation. No Response. Is sending another notification.
• 4911 85th Lane – boat has been removed from driveway.
• 8579 Burr – boat has been removed from driveway.
• 5108 – 91st Ave. – advised to comply with trash times & regulations.
• 8599 Burr – advised to comply with trash times & regulations.
• 91st Street near Clark – removed garage sale items, banners & signs.
• Laura Hatford requested attention to a violation and will provide exact address via e-mail to Sharon Moore and the nature of compliance violation.
• President Hodges reminded Board that violations should be e-mailed to Sharon Moore between meetings so that we can contact Sam DeCero ASAP.
ACTION: Sharon Moore to invite Director Huet to the presentation.
• The town of Evanston, IL has been dealing with the infestation by cutting the trees down to ground level and covering it up with dirt. A new tree eventually regenerates. This is a possible consideration for our situation.

New Homeowners Update
• No new residents.

PIRCA Newsletter
• Ideas for the newsletter to be sent to Vice President Palus: New officers and list of 2015 projects to be listed.
• ACTION: President Steve Hodges to provide updated and correct listing of Officers and Board Members.
• Upcoming Newsletter could include “Thank You” to the Town for help in maintaining water levels and removing beaver dam and debris from pond and waterways AT NO COST to us.

PIRCA Website
• Dave Kwiatkowski reported that he now able to download photos to the website.
• ACTION: President Hodges will send slides from Annual Homeowners Meeting so that they can be uploaded to website.

Special Events
• No new business.

 OLD BUSINESS
• No new business.

 NEW BUSINESS8

• President Hodges had sent out updated Board information. Asked that we each check for accuracy before it is listed on website.
• Minutes for November meeting will be recorded by Sharon Moore. Cindy Ferrini will record December minutes

 NEXT BOARD MEETING
• December 15, 2014- 7:00pm at Rosati’s. It was decided that there would be a small holiday celebration after the meeting. This will be paid for personally by officers and board members.
• ACTION: President Steve Hodges will coordinate with Rosati’s.

 ADJOURN
• Don Guske made a motion to adjourn, and Elizabeth Sengupta seconded the motion. Motion passed unanimously. Meeting adjourned at 8:10 p.m.
