2014 September Meeting Minutes

Pine Island Ridge Community Association

Monthly Board Meeting

September 15, 2014

ATTENDEES: Don Guske, Bob Smith, Ron Hahn, Steve Hodges, Rich Elliott, Sharon Moore, Laura Hatford, Dave Kwiatkowski, Ivone Palus, John Brock, and Yolla Blair. Laura Hatford provided Sharon Moore with her voting proxy because she needed to leave early from the meeting.

GUESTS: Elizabeth Sengupta and Joe Thiel.

No town officials were present at this meeting. Sharon Moore will send list of town officials’ e-mail addresses to President Hodges and he will send an invitation to our annual meeting.

  • MINUTES FROM AUGUST 18, 2014 BOARD MEETING
  • Sharon Moore to be added to list of attendees.
  • Under PIRCA newsletter, it should read that the proxies are to be returned by October 13th.
  • Vice President Palus made a motion to accept the minutes with the above amendments, and Laura Hatford seconded the motion. Motion passed unanimously.

 

  • TREASURER’S REPORT FOR SEPTEMBER 2014
  • A check for $692.53 was paid to NU TOYS.
  • Approximately $4,600 in delinquent fees and $6,200 in late fees have been collected.
  • All delinquent homeowners have either a lien or are involved court at this time.
  • Don Guske made a motion to accept the treasurer’s report, and Ron Hahn seconded the motion. Motion passed unanimously.

 

  • COMMITTEES

Creek Erosion Problem

  • Rain water is collecting at the mouth of the drain and causing black dirt to be washed away. This is leaving a 6 inch hole by the drain.

ACTION: Don Guske to call Cherry Creek Nursery to address this issue. (Complete ASAP)

 

Commons Area/Landscape

  • Damaged willow tree and ornamental tree were removed by Clemmon’s for $1,200. The other willow tree was not removed because it was inaccessible.
  • Laura Hatford has replanted perennials and applied mulch at the Twin Lakes signage. A flower bed was planted over the area where a tree was removed.
  • Consideration is being made whether boulders should be placed along the side of the road to prevent cars from driving over the flower bed.

ACTION: Laura Hatford to obtain price quote from Niemeyer’s for boulders. (Complete ASAP)

  • Warning sign on removed willow tree needs to be replaced.

ACTION: Sharon Moore to contact Public Works Director Huet with regards to replacement. (Complete ASAP)

  • Planting and added mulch to be completed at Tree Branch pond signage.
  • There are tire ruts along the side of the road by Tree Branch pond. Sharon Moore stated that the town may be able to fill them up after the winter season.

ACTION: Add this as well as the ash tree removal from the commons areas to the 2015 project list. (Complete ASAP)

  • Sharon Moore put together a preliminary list of tree removal businesses, their prices, and suggestions.
  • President Hodges stated the removal of the ash trees should be done in a methodical manner and the length of the project is indeterminate.

ACTION: Don Guske, Ron Hahn, and Rich Elliott agreed to be on a committee to deal with the ash tree removal. They will begin by marking the dead trees. (Complete by next meeting)

 

 

Ponds

  • Dave Kwiatkowski verified that Aquatic Weed Control would charge $1,000 for treatment for the rest of the year and $2,800 for the 2015 season. They recommended not doing any more treatments this year.

 

Playgrounds

  • All upgrades and audit were completed. Letter of compliance received.
  • Don Guske has taken pictures of the new equipment to be presented to the homeowners at the annual meeting.

 

ARC

  • Don Guske will send list of approved homeowner’s projects to President Hodges for the annual meeting.

 

Compliance (Homeowner’s issues/Problems)

  • Don Guske suggested that the association should first send a letter to homeowners prior to notifying the code enforcement officer.

ACTION: Sharon Moore will put together a letter to be sent to noncompliant homeowners.

 

New Homeowners Update

  • There are 16 new homeowners as of this date.

 

PIRCA Newsletter

  • Next issue to be sent out in spring.

 

 

PIRCA Website

  • Dave Kwiatkowski has been in touch with the webmaster. He may need to have him instruct him on how to do certain functions.

 

Special Events

  • Treasurer Brock and Secretary Blair to be at annual meeting by 5:30.
  • John Brock to provide list of homeowners for address verification.
  • Judy Elliott and Vice President Palus to make arrangements for appetizers from Rosati’s.
  • Vice President Palus to put up signs for meeting announcement and parking.
  • Vice President Palus to contact Director of Student Services to assure equipment is available.
  • List of projects need to be sent to President Hodges ASAP.
  • Board members will be in charge of presenting their committee’s accomplishments.

  • Vice President Palus made a motion to adjourn, Don Guske seconded the motion. Motion passed unanimously. Meeting adjourned at 8:15pm.
